1. Who we are
Vetari (getvetari.com) is client-communication software for veterinary clinics. It is run by Abd Elrahman Youssef Mostafa Elabd, Cairo, Egypt ("Vetari", "we", "us"). You can reach us at hello@getvetari.com.
2. Clinics and pet owners
Vetari has two kinds of users, and our role is different for each:
- Clinics sign up for an account. For clinic account details (like the clinic's name and login email), we decide how the data is used. Under the GDPR, we're the "controller".
- Pet owners ("clients") are added by a clinic, or join through their clinic's signup link. Their details belong to that clinic. The clinic decides how they're used, and we process them only to provide Vetari to the clinic. Under the GDPR, the clinic is the "controller" and we're its "processor".
If you're a pet owner with a question about your data, the quickest route is your clinic. You can also email us and we'll help, or pass your request to them.
3. What we collect
| Data | Examples | Where it comes from |
|---|---|---|
| Clinic account | Clinic name, login email, phone, password (stored only as a one-way hash), plan, time zone | The clinic, at signup and in Settings |
| Clinic AI profile | Opening hours, services, notes and tone the clinic chooses for its AI assistant | The clinic |
| Pet owners | Name, email, phone number, notes | The clinic, or the owner via the clinic's signup link |
| Pets | Name, species, notes | The clinic or the owner |
| Appointments | Date and time, reason, price, status, whether a reminder was sent | The clinic |
| Messages | Messages between a clinic and its clients in the client portal, and questions owners ask the clinic's AI assistant (with its replies) | Clinics and owners |
| Billing | Plan, subscription status, renewal date, and the customer and subscription IDs from our payment provider. We never see or store full card numbers. | Lemon Squeezy, when a clinic subscribes |
| Contact form | Your name, email, clinic name and message, plus your IP address (used only to stop spam) | You, on our contact page |
| Technical logs | IP address, browser type, the page or action requested, errors | Automatically, when anyone uses the site |
Cookies and browser storage: we don't use advertising or analytics cookies. To keep you logged in, Vetari saves a login token and your light/dark display choice in your browser's local storage. Logging out removes the token.
4. How we use it
- To provide Vetari: storing a clinic's clients, pets and appointments; sending appointment reminder emails, which go out automatically if the clinic turns that on; showing revenue figures; and the client portal and messaging.
- AI features: when a clinic uses the AI assistant, or a client asks it a question, the question and the clinic's AI profile are sent to our AI provider to generate a reply. Replies are generated automatically, may be wrong, and are not veterinary advice.
- Billing: to start, change and end paid plans.
- Support and service emails: password resets, client portal login links, answering your messages, and important notices about your account.
- Security: to prevent abuse and keep the service running.
Under the GDPR, our legal bases are: performing our contract with the clinic; our legitimate interest in running a secure, working service; and meeting legal obligations, such as tax records. We don't sell personal data, and we don't use clinics' or pet owners' data to train AI models.
5. Who helps us (service providers)
These companies process data on our behalf, only as needed for the job described:
| Provider | What they do | Location |
|---|---|---|
| Railway | Hosts the app and its database | United States |
| Cloudflare | Domain name system (DNS) and forwarding of emails sent to @getvetari.com | Global |
| Resend | Delivers emails: reminders, login links, password resets, contact-form messages | United States |
| Groq | Generates AI assistant replies (only when AI features are used) | United States |
| Lemon Squeezy | Payments and subscriptions, as our merchant of record. Lemon Squeezy handles card details and sales tax/VAT under its own privacy policy. | United States |
| Google Fonts | Serves the fonts on our pages, so your browser connects to Google when a page loads | Global |
We'll update this list before adding a new provider that handles clinic or client data.
6. Storage and international transfers
Vetari's database is hosted by Railway in the United States. If you're in the EU, UK or elsewhere, your data will be transferred to and processed in the United States. Where the GDPR requires it, we rely on our providers' standard contractual clauses or other approved safeguards. Clinics that need a data processing agreement (DPA) can email us and we'll provide one.
7. How long we keep it
- Clinic accounts and their data are kept while the account is open. If you ask us to close your account, we delete its data within 30 days. The exception is anything we must keep by law, such as billing records, which Lemon Squeezy keeps for tax purposes.
- Deleted clients: when a clinic deletes a client, they disappear from the clinic's view straight away. If you want them erased from our database completely, email us and we'll do it within 30 days.
- Contact-form messages are kept for up to 24 months, then deleted.
- Technical logs are kept by our hosting provider for a limited time and then deleted automatically.
8. Security
All traffic to Vetari is encrypted (HTTPS). Passwords are stored only as salted one-way hashes, so nobody, including us, can read them. Each clinic can only see its own data, and pet owners can only see their own details and messages. Login links and password-reset links expire. No system is perfectly secure, but if a breach ever affects your data, we'll tell you promptly.
9. Your rights
Depending on where you live (for example under the GDPR in the EU and UK, or state privacy laws in the US), you can ask us to:
- give you a copy of your data, in a portable format,
- correct anything that's wrong,
- delete your data,
- restrict or object to how we use it, and
- withdraw consent, where we rely on consent.
Email hello@getvetari.com and we'll respond within 30 days. Pet owners: we may pass your request to your clinic, since it controls your data. If you're unhappy with how we've handled something, you can also complain to your local data protection authority.
Vetari is a tool for businesses. It isn't meant for children, and we don't knowingly collect data from anyone under 16.
10. Changes to this policy
If we change this policy, we'll update the date at the top. If the change is significant, we'll also email clinic accounts before it takes effect.
11. Contact
